Actualog Roles and Organization Context

Actualog is a product information platform built around a simple idea: structured product data becomes a searchable, comparable, publishable product showcase — for your own portfolio and for the products you source, specify, or procure.

This topic explains how one user can work in Actualog across multiple organizations and multiple roles, and how different organization types use Actualog to achieve business outcomes.

Key concept: one user, many organizations, many roles

In Actualog:

  • You are one person (one account).
  • You may work independently (as an Expert) and/or belong to one or more organizations.
  • Each organization can be a different type: manufacturer, distributor, procurement organization, association, design/R&D institution, integrator, etc.
  • Roles are assigned per organization, and you can have multiple roles in the same organization.

Example You can be:

  • an Independent Expert (contributing knowledge to communities),
  • a Product Content Manager in a manufacturer,
  • and a Procurement Manager in a buying organization — all at the same time.

This separation keeps governance clean:

  • Organization type defines business objectives and governance model.
  • User role defines what you can do and what you own operationally.

Catalogs are the core: your product showcase and your procurement lists

A Catalog in Actualog is a curated, structured set of products used for publishing, sharing, and syndication.

Catalogs can represent:

  • What you sell (product portfolio showcase)
  • What you offer to specific partners (partner/offer catalogs)
  • What you want to buy (procurement/specification catalogs)
  • What you exhibit or communicate (exhibition/showcase catalogs)

Where catalogs can be used

  • Inside Actualog as a marketplace-style showcase (your “digital shelf”)
  • Embedded into external websites/portals (when embedding is enabled)
  • Exposed to integrations (API-driven distribution and data exchange)

Discoverability and AI readiness

Actualog product pages and catalogs are designed for high-quality indexing:

  • Structured attributes and taxonomy improve search relevance
  • Public product information becomes easier for search engines and AI systems to interpret and reuse
  • Product data is re-indexed on a regular basis (daily for published content) to keep discovery fresh

Actualog user roles (what a person does)

You can combine roles depending on responsibilities and governance maturity.

  • Improve product descriptions, terminology, and multilingual content
  • Review community contributions and reduce ambiguity in specifications Primary output: reusable category templates and high-quality reference knowledge.

2) Company Administrator

Mission: governance, access control, and accountability. Typical responsibilities

  • Manage organization membership and role assignments
  • Define visibility rules (who can view, edit, publish, embed)
  • Maintain organization settings and compliance boundaries Primary output: stable governance and secure collaboration.

3) Product Content Manager

Mission: create “golden records” for products. Typical responsibilities

  • Create and maintain product profiles (attributes, variants, media, documents)
  • Ensure completeness across required attribute sets
  • Maintain consistent naming, structured descriptions, and classification Primary output: channel-ready product masters (trusted source of truth).

4) Data Quality Lead

Mission: data quality, stewardship, and standards enforcement. Typical responsibilities

  • Define data quality rules (required fields, value ranges, units)
  • Drive remediation workflows (fix gaps, duplicates, inconsistencies)
  • Ensure conformity to taxonomy and attribute governance Primary output: measurable improvements in completeness, consistency, and trust.

5) Sales Catalog Manager

Mission: publish portfolio catalogs optimized for buyer discovery and partner reuse. Typical responsibilities

  • Maintain public-facing and partner-facing catalogs with version control Primary output: sales-ready catalogs that reduce friction in conversion and onboarding.

6) Procurement Manager

Mission: standardize buying, comparison, and RFx specifications. Typical responsibilities

  • Build procurement catalogs (what you plan to source / approve / standardize)
  • Define attribute-based requirements for RFQ/RFP/tenders
  • Invite suppliers to align product data to a single structured baseline Primary output: comparable bids, fewer errors, faster procurement cycles.

7) Exhibition Coordinator

Mission: create curated showcases for events, programs, and campaigns. Typical responsibilities

  • Build “showcase catalogs” for exhibitions, demos, industry initiatives
  • Prepare structured highlights, documents, and story-driven grouping
  • Support public viewing and embedding where appropriate Primary output: a clean product vitrine for audiences and stakeholders.

8) Integration Manager

Mission: make product data flow reliably across systems and partners. Typical responsibilities

  • Manage API-based distribution, mappings, and synchronization
  • Align attribute models with downstream channel schemas
  • Reduce manual exports and “spreadsheet-based integrations” Primary output: governed syndication and scalable data exchange.

9) Catalog Observer

Mission: read-only access for stakeholders who need visibility, not editing. Typical responsibilities

  • Review product catalogs, product profiles, and documentation
  • Validate readiness for publishing, procurement, or partner exchange Primary output: alignment and approvals without changing data.

10) Public Contact Person

Mission: enable external communication and trust. Typical responsibilities

  • Provide a clear contact point for catalog/product questions
